What is Time Management
Time management is the practice of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase effectiveness, efficiency or social productivity.
We all have 24 hours a day and there are a lot of tasks that need to be completed in order to achieve your goals. The main idea behind time management is prioritizing and completing the most important tasks first.
Some people find it helpful to create a list of all their tasks and then prioritize them in terms of what needs to be done first. You should also set aside some time for breaks during the day – this will help keep you from getting too burned out.
How Will it Impact My Productivity
There are many benefits to good time management.
– First, it helps us feel less stressed and more in control of our lives when we know exactly how much time we have for everything.
– two, it helps us avoid procrastination by making sure that the deadlines are clear and manageable.
– Third and finally, it helps use set goals and be better at measuring progress towards our goals.
An important thing to keep in mind about time management is that the process doesn’t end when the work is done, but rather continues on throughout the day. We should always make sure we have enough time to schedule everything into our day properly so that nothing falls through the cracks or ends up taking up a lot of time unnecessarily.

Best techniques to manage time and increase productivity
Many people fail to be productive at work because they have no techniques to manage time. And if you have no techniques, you likely won’t be able to do anything about it. That’s why the first step is to develop some techniques that will help you improve your time management skills.
The key is to get the right systems in place in order for you to use your time effectively and efficiently, but also according to your own preferences and needs.
1. Find a work style that fits: a lot of people are stuck between the two options of being either rigid or flexible with their schedules and styles of working. If this applies for you, try experimenting with both options and find which one works best for you personally so that you can future-proof your system.
2. Set clear goals: this will allow you better manage your expectations while also having a clear idea of what needs doing now and what can wait until later on. It also helps
It is not always easy to stay focused and motivated. There are so many distractions in the workplace; it is not difficult to lose track of time. If you want to manage your time and be more productive, then it is important that you try out these techniques:
Pomodoro Technique:
The Pomodoro Technique is a time management method developed in the late 1980s by Francesco Cirillo. It is based on the idea that frequent breaks can improve mental agility.
The technique uses a timer to break down work periods into short intervals called “pomodoros” (25 minutes each). A pomodoro is traditionally broken down as follows:
– One task during each pomodoro (25 minutes)
– A 5 minute break after every pomodoro
– A longer break after completing four pomodoros (2 hours)
The technique is based on the idea that frequent breaks can improve mental agility, productivity, and help you reach your goals more efficiently. It has been seen as a way to maintain focus for longer periods of time without burning out or giving up and can be used at home or in the workplace to help increase hours spent on projects and tasks, while controlling distractions from things like social media.
Eisenhower Matrix:
The Eisenhower Matrix is a time management technique which helps to divide tasks and plan their execution. It divides the tasks in 4 different quadrants:
-Urgent and important tasks
-Important but not urgent tasks
-Urgent but not important tasks
-Neither urgent nor important tasks
It is named after Dwight D. Eisenhower, the 34th President of the United States, who popularized it as a tool for time management.
The Eisenhower Matrix is a technique for prioritizing tasks using an efficient grid. It looks at both urgency and importance of the task, so that when you have a lot of things to do, you can figure out which one to work on first.
The Eisenhower Matrix is easy to use and can be applied anywhere – to organize your inbox or even your day-to-day life.

Parkinson’s Law:
Parkinson’s law is an adage that states that work expands to fill the time available for its completion.
We see this happen all of the time in our everyday lives, and with the help of AI and a calendar we can avoid it.
There are many reasons why people procrastinate and one of them is because they lack focus on what needs to be done next; this leads to unproductive behavior. AI and a calendar solve this problem by letting you know exactly what tasks are needed to be completed today.
This law applies to how we manage our time in relation to our tasks and assignments, which motivate us in different ways at different times of the day, as well as how we allocate our time between tasks and projects. Parkinson’s Law also states that productivity suffers when a task is not clearly defined or too much time is allocated.
Time Blocking method :
One of the most popular time management methods is time blocking. The idea behind time blocking is to divide your day in specific chunks, so you have a clear outline of what you need to do.
Time blocking helps you be more productive and tackles procrastination by making it a habit. You can block specific activities for a few hours or schedule them for the next day if you are not able to finish them.
The goal is to make sure that you are investing and managing your time wisely. This way, you don’t waste your time on things that do not lead to success.
Rapid Planning method :
Rapid Planning is a method of time management to help you get the most out of your day.
First off, it is important to note that Rapid Planning is a technique that can be used in any industry. It’s not something that’s just for business people, it can be used by anyone who has tasks they need to complete and responsibilities they need to fulfill in a particular day.
It’s a common misconception that time management skills are developed slowly over time. In reality, these skills can be mastered quickly through the use of a well-tested four-step Rapid Planning method.
In order to implement this technique into your lifestyle, there are 4 steps involved:
1) Gather information and evaluate its value
2) Establish goals and priorities
3) Organize information into lists, outlines, or other formats
4) Set deadlines for tasks and actions

Pareto Analysis :
Pareto Analysis is one of the most popular tools used in the workplace to maximize productivity.
It is a way to get rid of small tasks that can take up a lot of time, but don’t offer much productiveness.
A Pareto table is an organized list with four columns and four rows.
– The first column is for the task.
– the second column is for time spent on this particular task.
– The third column reflects on producing outcomes from these tasks.
– fourth column represents time spent on the outcome.
If we graph out this data we will see a bell curve shape distribution with 20% of the population producing 80% of the results and vice-versa.
In order to get this bell curve shape distribution we have to focus on quality instead of quantity. We need to be looking at how many minutes or hours are producing good outcomes rather than how many minutes or hours are just producing something that could be good or bad.
Pickle Jar Theory :
This theory acknowledges the idea that there are 4 types of tasks and that they should be divided accordingly.
– The first type is the Urgent and Important, which needs to be dealt with right away as it will produce a positive or negative outcome.
– The second type is Important but not urgent, which can wait until you have dealt with the urgent tasks.
– The third type is Urgent but not important, these tasks can be delegated or delayed without consequence
– finally there are the Not important and Not Urgent tasks, these tasks should be eliminated entirely from your to-do list.
The Pickle Jar Theory helps people manage their time more effectively by identifying what task should be prioritized first in order to achieve their goals in a timely manner.

Getting Things Done :
The main idea behind the system is that it’s hard to judge how much time you need to complete a task. This is why it’s important to break down tasks into subtasks and then estimate the hours for processing each subtask.
First, one has to determine what activities need be done in order to get the desired result. Once this is defined, one should assign each activity a given number of hours and sum them together. The final result will show how many hours have been assigned for finishing an entire project.
One of the most popular systems for personal time management is called “Getting Things Done” (GTD). The system lays out five phases and steps that must be followed in order to achieve true productivity:
Capture Everything: Anything that comes to mind, write it down. No size is too little or large! These are delivered right to your inboxes.
Clarify: Transform the information you’ve gathered into precise, detailed action steps. Choose if a given item is a project, a future step, or a reference.
Organize: Place everything in its proper location. Add events to your calendar, assign tasks to others, and organize your work.
Review: Do Review, update, and amend your lists frequently.
Engage: Start working on the important things.
